Structuring your presentation by Time<\/h3>\n\n\n\n<p>Let&#8217;s suppose that your presentation is on the growth of internet presence in businesses.<\/p>\n\n\n\n<p><strong>Your thesis could be:<\/strong><br>Businesses are rapidly increasing their presence on the internet because of market pressures.<\/p>\n\n\n\n<p>Your organising structure could therefore be:<\/p>\n\n\n\n<p>In January 1998 only X% of businesses had an internet presence of some sort \u2014 a website or email address \u2014 (because)<br>\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0reason<br>\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0reason<br>\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0reason<\/p>\n\n\n\n<p>By January 2010 this had grown to Y% (because)<br>\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0reason<br>\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0reason<br>\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0reason<\/p>\n\n\n\n<p>By January 2021 this had grown to Z% (because)<br>\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0reason<br>\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0reason<br>\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0reason<\/p>\n\n\n\n<p>And so on, leading to your conclusion(s).<\/p>\n\n\n\n<p>\u00a0<\/p>\n\n\n\n<h3 class=\"wp-block-heading\">2. Structuring your presentation by Space<\/h3>\n\n\n\n<p><strong>Thesis:<\/strong><br>We should structure our new global call centre in Adelaide, Australia<\/p>\n\n\n\n<p><strong>Why:<\/strong><br>Adelaide is the best location (because)<br>1. Access to highly trained and motivated staff<br>2. English is their first language<br>3. Cheaper cost of living compared to other mainland cities<\/p>\n\n\n\n<p>A. It&#8217;s a better choice than Brisbane, Australia (because)<br>\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0reason<br>\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0reason<br>\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0reason<\/p>\n\n\n\n<p>B. There is harm in what we are currently doing<br>\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0example<br>\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0example<br>\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0example<\/p>\n\n\n\n<p>B. Summary<\/strong>\u00a0\u2014 a final upbeat statement that leaves your audience thinking positively about your proposal.<\/p>\n\n\n\n<p><\/p>\n\n\n\n<h3 class=\"wp-block-heading\">4. Structuring your presentation by Cause &amp; Effect<\/h3>\n\n\n\n<p><strong>Thesis:<\/strong><br>Internal employee communication vehicles need to be formally introduced<\/p>\n\n\n\n<p><strong>Cause 1:<\/strong><br>Employees have no direct chain of communication with senior management<\/p>\n\n\n\n<p><strong>Effects 1:<\/strong><\/p>\n\n\n\n<p>1. Employees are gossiping negatively over internal email and in the breakout rooms about possible managment initiatives that not even management have considered yet<\/p>\n\n\n\n<p>2. Call centre schedule adherence times are blowing out; people are taking longer breaks than allotted, disrupting traffic and causing longer queues<\/p>\n\n\n\n<p>3. Anecdotal evidence from floor-walking supervisors is that staff are accessing online job boards more and more<\/p>\n\n\n\n<p>4. Engagement scores on recent half-yearly surveys are trending downwards<\/p>\n\n\n\n<p>5. The number of unsolicited resumes sent in to the company has markedly decreased recently<\/p>\n\n\n\n<p><strong>Cause 2:<\/strong><br>Managers are so busy managing KPIs and statistics that they&#8217;ve forgotten to manage their people<\/p>\n\n\n\n<p><strong>Effects 2:<\/strong><\/p>\n\n\n\n<p>1. Effect<\/p>\n\n\n\n<p>2. Effect<\/p>\n\n\n\n<p>3. Effect &#8230;<\/p>\n\n\n\n<p><strong>Solution:<\/strong><br>Implement a formal top-down and bottom-up communication process and channel to help reduce the gossiping and increase engagement<\/p>\n\n\n\n<p><strong>Call to Action:<\/strong>\u00a0Implement management blogs<\/p>\n\n\n\n<p> <\/p>\n\n\n\n<h3 class=\"wp-block-heading\">5. Structuring your presentation by motivation<\/h3>\n\n\n\n<p>Based on Monroe&#8217;s 1935 work, the Motivation Model is a fantastic way of structuring your ideas. It works because it follows a predictable pattern of thinking.<\/p>\n\n\n\n<p>The steps are:<\/p>\n\n\n\n<p><strong>1. Attention<\/strong>\u00a0\u2014 get their attention; make them\u00a0<strong>want<\/strong>\u00a0to pay attention<\/p>\n\n\n\n<p><strong>2. Need<\/strong>\u00a0\u2014 describe a problem so that the receiver responds with &#8220;something needs to be done&#8221; or &#8220;I need this information&#8221;<\/p>\n\n\n\n<p><strong>3. Satisfaction<\/strong>\u00a0\u2014 present a solution to the problem so that the receiver thinks &#8220;this is what should be done&#8221; or &#8220;this information is useful and helps me understand&#8221;<\/p>\n\n\n\n<p><strong>4. Visualisation<\/strong>\u00a0\u2014 show the consequences of doing or\u00a0<strong>not<\/strong>\u00a0doing what is asked for in the &#8216;satisfaction&#8217; stage. Your goal is to have the receiver think &#8220;if I do this I will be in a better position&#8221; or &#8220;if I don&#8217;t do this I will be in a worse position&#8221;<\/p>\n\n\n\n<p><strong>5. Action<\/strong>\u00a0\u2014 a call to action; you want the receiver to say &#8220;I will do as you suggest&#8221; or &#8220;I believe you&#8221; or &#8220;I now feel strongly about this&#8221;.<\/p>\n\n\n\n<p>\u00a0<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Conclusion<\/h2>\n\n\n\n<p>As communicators we have access to five fantastic outlining tools to help us structure our presentations for better reception.
